Locations and Resources are integral components of BookingLive's event management system that work together within a two-tier structure. This system is designed to assist you in efficiently tracking both the physical spaces where events occur and the various elements that are utilised during those events. Understanding how to effectively utilise Locations and Resources is key to organising successful and seamless events.


What is a Location? - A Location refers to the specific venue or physical space where an event is taking place. This can encompass a wide array of settings, such as conference centres, schools, outdoor venues, or MS Teams (for online sessions), and many more. For example, a Conference Centre would serve as a Location where multiple events, such as workshops, seminars, and conferences, can be held. Proper identification of your Locations allows for better planning and resource allocation, as you will know exactly where each event is happening and what is needed to facilitate it. 


What is a Resource? - A Resource represents the individual components that are utilised during an event. Resources can include anything from rooms within a Conference Centre, a hall or a building within a School, and more. For instance, within the aforementioned Conference Centre, specific rooms such as the Main Hall, Breakout Rooms, or even outdoor spaces may be categorised as Resources. By clearly defining your Resources, you can manage availability and ensure all necessary components are accounted for before and during an event.


Why do I need two options? - You might wonder why our system provides a distinct categorisation for Locations and Resources. The reason is simple: while these two elements are often interconnected, they serve different purposes that are critical for effective event management. Many customers using BookingLive find that their Locations and Resources may sometimes overlap, as they can both refer to similar settings. However, having separate categories allows for greater flexibility and organisation.

You can assign multiple Resources to a single Location, but you will require at least 1 Location and Resource to be able to set up Events.
